  • As part of the administration team you will support the admin needs of the organisation across the sites, with this role’s particular focus on providing an excellent customer service for reception and first class admin support to organisation. You will also support and cover across other admin roles to ensure the smooth running of the organisation for patients. Your will receive and assist patients and direct them to the appropriate service or healthcare professional in a courteous, efficient and effective way. They will project a positive and friendly image to visitors, both in person and on the telephone. You will have previous experience of working with the general public and be able to work without constant supervision. In addition to general reception duties the post-holder, under the direction of the Admin Manager and Managing Partner will undertake duties as required. KNOWLEDGE/SKILLS: • Excellent customer care skills • Ability to deal with public and patients • Ability to focus for long periods • Strong organisational skills, including the ability to prioritise your own workload. • Excellent verbal and written communication skills. • Understanding of how general medical practice communicates with secondary care and outside organisations. • The ability to work as part of a team. • Good working knowledge of Word and Excel. • Apply practice policies, standards and guidance. • Work effectively with individuals in other agencies to meet patients’ needs MAIN DUTIES: • Greet, receive and direct patients • Give completed prescriptions to patients, checking the name and address • Deal with telephone enquiries • Process appointment requests by patients, both in person and over the telephone • Record messages for staff, clinical and non-clinical • Record requests for home visits and repeat prescriptions • Appropriately date, scan, record, code and act on emails, communications, letters etc (workflow) including laboratory reports • Extract patient files for surgeries, house calls and routine enquiries • File paperwork in the relevant patient file • Register new patients and carry out de-registrations as required appropriately, completing all work required • Process a patient’s change of address, having knowledge of the practice’s catchment area • Retrieve patient notes, to be returned to the health authority • Input patient information on computer, including under templates • Scan, photocopy, file as requested • Be able to navigate correctly on SystmOne, AccuRx, Xero and other computer programme • Become trained on Docman for scanning and attaching, and other similar systems • Be proficient in all Microsoft office programme • Provide cover as and when necessary for the administration team • Complete referrals, queries, 2ww letters, other letters etc when asked by Admin Manager • Have a working knowledge of the telephone system, during and after hours • Review and stock clinical and non-clinical rooms daily • Clear rooms after general practice as needed • Help maintain the security of the building, including opening up and locking up as needed • Support the Admin, Premises and Nursing leads as needed to support effective operation of the Practice. This may include carrying out premises checks, reporting any issues to the security department, SystmOne report generating, carrying out projects to support staff/patients. • Contact patients for care and support e.g. flu clincis, Long Term Condition clinics, chase up information etc. • Perform systematic checks on toilet facilities, reporting faults and cleanliness problems to the appropriate department • As part of the admin team, the role will be required to provide support and cover other areas such as admin, workflow and secretarial duties and requirements as required to ensure smooth running of the organisation delivering effective patient care, supporting all the Practice team. • Mandatory attendance at QUEST learning sessions • Must be available between hours of 8am to 6.30pm Monday to Friday to support Practice operations, and cover absences as needed • Attend meetings • The above list of duties is not exhaustive and may be subject to change as deemed necessary. Experience Having worked with the public, in the NHS or similar environment Willing to undertake further training as applicable Experience of working in Primary care environment desirable Experience of working in a busy, customer facing office environment is essential Knowledge of the NHS structure and systems, confidentiality is desirable. Previous experience in General Practice desirable Customer service skills and general administration.
