Apprentice Business Administrator - Aegis Fire & Security

Aegis Fire & Security are seeking a Business Administrator to join their team to work alongside our Commercial Director, Service Manager and Service & Finance Administrator on a full time basis to undertake business administration/customer service duties with financial duties being incorporated into the role after 6 months. This is a multi-function role incorporating administration, commercial and financial elements

  • About the employer

    • Emailing Engineers Diaries.
    • Booking in Routine Maintenances – Commercial.
    • Process Routine Job sheets and email if required.
    • Answering a busy office phone and helping/directing query where appropriate
    • Accepting deliveries and notifying the recipient they have arrived
    • Stationery Ordering
    • Purchasing of office refreshments/cleaning products
    • Booking of hotels
    • Scanning and inputting job sheets onto Engineer Google Drive and filing in the basement
    • Obtaining credit card receipts from the Managing Director and matching to the monthly statement and uploading of receipts to Receipt Bank via company mobile phone
    • Expenses – Cross check expenses against receipts and input onto Xero
    • Maintaining the holiday planner for the Projects Department
    • Vetting full process for Sub Contractors/New Employees and production of checklists for NSI Audits as the need arises
    • Ordering of workwear when required
    • Management of ID Badge Log

     

    Training for the above will take place on a daily basis as duties arise

     

    After 6 months of successfully being in the initial role, training will commence on the below and the following duties undertaken for Cathy Yates, Commercial Director

    • Financial Month End cross checks via reports from Xero Accounting System
    • Monthly expenditure calculations for Projects and Service Departments from Xero
    • Production of monthly revenue reports from Xero
    • Posting of Bank transactions against Xero transactions

    Hours 8.30am – 5pm with an hour for lunch

    20 days annual leave plus Statutory Bank Holidays

    £12,000 per annum
